About Us

Who we are

This policy explains how Faith And Co Estates Ltd (โ€œFaith & Co. Estatesโ€, โ€œweโ€, โ€œusโ€) collects and uses personal information when you use this website or our lettings and property management services.

Faith And Co Estates Ltd is the data controller for your information. Our registered office is 86a High Street, Southall, England, UB1 3DB. We are registered with the Information Commissionerโ€™s Office (ICO).

Your Information

What we collect

We only collect what we need. Depending on how you deal with us, this may include:

  • Enquiries and valuations: your name, email address, phone number, property address and the details you give us about your property or requirement.
  • Landlords: identity and ownership details, bank details for rent payments, and the certificates, licences and documents needed to let your property legally.
  • Tenants and occupiers: identity and Right to Rent documents, referencing information such as employment, income, credit and previous landlord references, and tenancy records.
  • Operators, councils and partners: business contact details and the information needed to arrange and manage a letting.
  • Our website: we do not use analytics or advertising tools, and we do not set cookies. Our hosting provider processes basic technical data, such as your IP address, to deliver the site securely.
How We Use It

Why we use it, and our lawful basis

  • To answer your enquiry or arrange a valuation, because you have asked us to and it is in our legitimate interests to respond.
  • To provide our lettings and management services, because it is necessary for a contract with you, or to take steps before entering one.
  • To meet our legal duties, such as Right to Rent checks, anti-money laundering checks, deposit protection, licensing and safety requirements, and keeping proper records.
  • To send you property alerts or updates, only where you have asked for them. You can unsubscribe at any time.

We never sell your personal information.

Sharing

Who we share it with

We share information only where it is needed to provide our services or where the law requires it. This may include:

  • referencing and credit reference agencies, and Right to Rent checking services;
  • the Deposit Protection Service (DPS), to protect tenancy deposits;
  • contractors and tradespeople arranging repairs, who receive only the details they need;
  • councils, care and accommodation operators, and other parties to a letting you have asked us to arrange;
  • property portals, to advertise a property (property details only, not your personal contact information);
  • our professional advisers, insurers, the Property Redress Scheme and Client Money Protect;
  • regulators, the police or other authorities, where we are legally required to.
Retention

How long we keep it

We keep personal information only for as long as we need it for the purpose it was collected for.

Enquiries that do not lead to a letting are deleted when they are no longer needed. Records relating to a tenancy or a landlordโ€™s instruction are kept for as long as the law requires and to deal with any claims, usually up to six years after the tenancy or instruction ends.

Your Rights

You have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct information that is wrong or incomplete;
  • ask us to delete your information, or to restrict how we use it;

  • withdraw any consent you have given, for example to property alerts;
  • ask us to transfer information you have given us to another organisation.
